Terms and conditions

How to book a pool hire

  1. Please note we only operate for pool hires on Friday, Saturday and Sunday evenings.
  2. Email us with the desired dates, approximate number of swimmers and whether you want to hire just the pool or inflatable and provide us with a telephone contact information.
  3. We will then contact you with availability for those dates and agree a date with you.
  4. We will then send you the booking form with your information for you to check and confirm that all the information is correct. At this point you will need to read, check and sign that you agree to the terms and conditions.
  5. Once the forms are returned, your booking will be confirmed. We will need to take a £100 deposit which will be deducted from the total cost of your hire.
  6. The rest of the hire will need to be paid at least a month before the hire.

Insurance

  • If you are a non-profit organisation/person you will be covered by Chesham Town Council’s insurance policy for public liability.
  • If you are not a non-profit organisation/person to the above (you will normally be a commercial hirer) you will need to have at least £2million public liability insurance cover and will need to produce evidence of this. If in doubt, contact Chesham Town Council 01494 774842.
  • Chesham Town Council disclaims all liability whatsoever for any accident, damage, loss or personal injury unless such occurrences are directly attributable to negligence on the part of their agents or staff.

Cancellations

In the event of a hirer wishing to cancel any hire date after an application has been accepted, the following refund conditions will apply:

  • A full refund if at least one month’s advance notice is given before the hire date to be cancelled.
  • A 50% refund if less than a month’s advance notice but more than one-week advance notice is given before the hire date to be cancelled.
  • NO REFUND if less than a week’s advance notice is given before the hire date to be cancelled.
  • If it is necessary for the Chesham Moor to cancel your booking, the hiring fee will be refunded, or an alternative date will be found if possible. No liability will, however, be accepted for any losses incurred by the hirer.

Lifeguard provision

  • All Chesham Town Council (CTC) lifeguards are NPLQ trained.
  • CTC always provides two This is a requirement under our insurance arrangements and is included in the cost of your hire.
  • CTC always provides three lifeguards for an inflatable hire. This is a requirement under our insurance arrangements and is included in the cost of your hire.
  • If only two lifeguards have been booked, hirers are advised that a maximum of 50 people will be allowed in the pool at any one time.
  • Only CTC lifeguards are permitted to operate on the premises.

Conditions for the day of hire

  • Abuse towards staff will not be tolerated. Lifeguards and staff members are here to ensure everyone’s safety. If abuse is aimed at staff or lifeguards, you will be asked to leave and if required the police will be called.
  • No alcohol is allowed on site whether it for the party or parents staying to watch. Staff reserve the right to ask you to leave if alcohol is brought on site.
  • No glass or crockery is permitted into the premise.
  • We do not have any facilities to store any hot or cold food, so if you are bringing hot or cold food items you will need to bring appropriate storage for them.
  • You are welcome to bring a wireless speaker to play music. We do not provide any speakers to play music. No wired speakers or charging of speaker can be done on site due to health and safety regulations.
  • Hirer should make lifeguards aware of any persons who are non/weak swimmers or medical conditions/additional needs before hire commences.
  • For the inflatable, the minimum age for the party is 8 years and the maximum age is 14 years.
  • Any under 8’s will need to have an adult (over 16) available to get into the swimming pool if the lifeguard does not deem them to be a strong swimmer. If an adult has to get into the pool they will be counted in the number of swimmers for the hire, please allow for this in your booking numbers.
  • Hirer needs to have at least 2 nominated adults (over 16) to have swimwear with them to get in the pool if the lifeguards don’t deem the swimmers strong enough. If no adult is willing to get in with the weak swimmers, then the weak swimmer’s will be asked to exit the pool.
  • The hirer will be responsible for ensuring that all rules for the pool are observed and particularly those relating to safety. Lifeguard instructions must be followed at all times. Any person not adhering to lifeguard instructions may be asked to leave the pool and in exceptional circumstances, the premises.
  • The pool room is included in the length of the pool hire, if you wish to use the room after the hire then this will be an additional fee.
  • It is the hirer’s responsibility to clean up after the hire and leave the Centre in the same condition it was at the start of the hire. We can provide hoover, broom and dustpan and brush and a mop and bucket for cleaning.
  • The hirer will need to vacate the premises at the end of their hire time –  this includes cleaning and tidying away.
  • Parking is provided in the car park just past the Centre, it is free to park – please do not park on the road outside the Chesham Moor centre.
